Insurance-covered members are good business. They show up mid-morning on a Tuesday when your floor is empty, and they stick around longer than most January signups.
You just don't get paid when they walk in. The money comes weeks later, and only if somebody on your team filed the visit correctly.
If your club takes fitness benefits, four jobs are running in the background right now. Nobody scheduled them. Nobody was hired to do them. They're split across your front desk, your membership staff, and whoever inherited the reimbursement spreadsheet, which is usually why nobody notices what they add up to.
Here's what they actually look like.
Job one: the walk-in nobody can look up
Someone comes in with an active benefit. Your front desk has no record of them, so they get typed in by hand. Name, contact info, whatever else your intake form asks for.
And if that person already exists in your system from a trial last spring, you now have two records for one member, and the next three conversations with them get split between both.
Call it a few minutes per walk-in, plus a duplicate that either gets cleaned up later or never gets found.
Job two: verifying what you can't see
Is the benefit active? Through when? Nobody at the desk can answer that from inside ClubOS powered by ASF, so it becomes a phone call, a portal login, or a guess.
Guessing is the expensive option. You either turn away someone who was covered, or you serve someone who wasn't and eat the visit.
Job three: the monthly export
Reimbursement runs on visit data, and visit data lives in your check-in records. So once a month somebody pulls a report, cleans it up, formats it the way the benefit administrator wants it, and sends it off.
Late export, late reimbursement. And if a member connected their benefit halfway through the month, someone has to sit down and work out which visits count.
This is the biggest recurring block of time in the whole program. It's also the one most likely to slip the month its owner takes vacation.
Job four: the lapse you hear about late
Benefits end. Eligibility changes. Nobody calls your club to mention it.
So either you audit against the administrator's records every month, or you find out when a reimbursement gets denied and the member has been training free since May. The audit costs you time. Skipping it costs you revenue.
Why the labor stays invisible
None of these four is big enough to earn a line item. Five minutes here, an hour there, absorbed by people hired to do something else. It never shows up in a P&L as "fitness benefit administration," so it never gets measured, and unmeasured work doesn't get fixed. It just gets absorbed, until somebody quits and you find out nobody else knew how the export worked.
It also scales the wrong way. Every new benefit-eligible member makes the program more valuable and more expensive to run at the same time. The better it works, the more it costs you to keep up.
